Insurance

Have you submitted yet? All food vendors must submit a Certificate of Insurance (COI) to Sparknify and list Plug and Play Tech Center as an additional insured.

Vendor shall maintain general liability insurance with minimum coverage of $1,000,000 per occurrence. Call your insurance company to make sure your insurance is in good standing.

Parking is first‑come, first‑served. Parking is free. The parking lot is located behind the building. Enter from Stewart Drive.

 

Vendors must check-in first at our front counter in the front of the building before going to their assigned booth spot.

 

Setup begins at

8:00 AM on May 17, 2025​

 

Booth set-up must be completed by

10:30 AM

Temporary Food Facilities must prepare their own booth tent, chairs, tables, and washing sinks (if applicable) in compliance with health department rules. 

Unloading

The unloading zone is in the Plug & Play parking lot (see map). Vehicles must remain attended while unloading.

Notice: the venue is on the second floor. You can walk up the stairs, take the elevators, or use the freight elevator.

Freight Elevator

There is a loading dock next to unloading zone. (See location in the map and the photo)

Enter the building from the loading dock, then turn right to find the freight elevator.

YOU MUST FIRST MANUALLY PUSH THE DOOR OPEN OR CLOSE BUTTON, otherwise, it will not go to the floor of your choice.

Booth Setup

Please keep all activities, games, merchandise, displays, leaflets, and other vendor supplies within your assigned booth space. Do not extend into public aisles or common spaces. Sparknify reserves the right to immediately shut down any booth without refund that does not comply.

Vendors are allowed to bring any monitor, radio, or speakers to play background music or  demo video. However, please make sure the volume does not interfere with other vendors. 

Booths may not be transferred, subleased, or operated under any other company name. The booth space may not be shared with another party.

 

Vendors shall be solely responsible and liable for any infringement of copyright, trade dress, trademark, or other intellectual property rights.

 

The organizer is not liable for any losses resulting from the postponement or cancellation of the festival due to weather conditions, acts of terrorism, natural disasters, or other unforeseen circumstances beyond its control.

Electricity

Vendors approved for power must bring at least a 30‑foot extension cord (and any needed adapters). Plug into available 110 volts wall power plugs.

Booth Breakdown and Cleaning

Do NOT start breaking down before 7:00 PM on May 17, 2025.

 

Vendor shall staff its booth throughout the duration of the Event. Early departure may result in exclusion from future events.

 

All booth must be broken down and removed by 8:00 PM on May 17, 2025.

 

Break down and flatten boxes, placing recyclables into proper dumpsters at loading dock on first floor.

 

Place all food waste into organic bins.

Sparknify reserves the right to inspect and document any instances of uncleanliness. Vendors who leave their designated area in an unsanitary condition or fail to remove trash will be subject to a minimum of $300 in cleaning fee.

Security

The organizer is not responsible for the loss of valuables.

Additional Provisions

Unregistered vendors may not fundraise, distribute flyers, or hand out promotional items.

 

Sparknify reserves all rights of interpretation and updating of these guidelines. Therefore, Sparknify may amend these rules at any time without notifying vendors of any changes. Please track the revision number and the time and date of last update.

If a vendor is shut down by the Plug and Play Tech Center for any reason or by Sparknify for violation of any agreed terms, no refund will be issued.
